How Client Management is Structured
VendorDesk uses a clean three-level hierarchy. At the top is your agency. Under it sit your Clients (the companies you recruit for). Under each client sit their Requirements (the open roles). And under each requirement are the Candidates competing for that role.
This structure means every piece of data — candidates, timesheets, invoices — is always linked to the right client and the right role.
Adding a New Client
Go to Clients → + New Client. Fill in the company name, your SPOC (Single Point of Contact) at the client, their email, phone, and any rate card agreements. You can also attach documents like MSAs or SOWs to the client profile.
Posting Requirements for a Client
Open a client profile and click + New Requirement. Every requirement captures:
Sharing Candidate Profiles with Clients
Once you have shortlisted candidates for a requirement, select them and click Share with Client. VendorDesk generates a clean, branded PDF or web link containing each candidate's profile, AI screening summary, and resume — in the format clients expect.
No more copying and pasting profiles into email. Your client gets a professional presentation; you spend zero time formatting it.
Tracking the Placement Lifecycle per Client
Each client profile page shows the entire history: active requirements, candidates at each stage, confirmed placements, active timesheets, and total revenue generated. This is your single source of truth for every client review call.
When you're preparing for a QBR (quarterly business review) with a client, all the numbers you need — placements, fill rates, time-to-fill, revenue — are already on their profile page, updated in real time.
