What is the Talent Pool?

The Talent Pool is VendorDesk's central candidate database. Every candidate your agency has ever sourced — whether added manually, imported from Excel, submitted by a sub-vendor, or received via email inbox — lives here. Unlike the pipeline (which tracks candidates against a specific requirement), the Talent Pool is a global roster you own and can reuse.

From the Talent Pool you can search by name, role, or skill; filter by status; submit any candidate directly to an open requirement; and attach individual resumes or upload them in bulk. It's the single source of truth for your candidate inventory.

Importing Candidates from Excel

If you already have a candidate roster in Excel or Google Sheets, the bulk import wizard lets you bring your entire database into VendorDesk in four steps — no reformatting required.

Go to Talent Pool → Import from Excel and follow the wizard:

Download the template
Click "Download Template" to get a pre-formatted Excel file with the exact column headers VendorDesk expects. Fill it in with your candidates — one row per candidate.

Upload your file
Drag and drop your filled-in .xlsx file onto the upload zone. VendorDesk reads the file in your browser — nothing is committed to the database yet.

Review the preview
A preview table shows all parsed rows. Rows with validation errors (missing name, invalid email) are highlighted in red. You can fix errors in the original file and re-upload, or proceed with the valid rows only.

Confirm import
Click "Import X candidates" to commit. VendorDesk de-duplicates by email — existing candidates are skipped, new ones are added. You get a summary of added vs. skipped rows.

You can import as many times as you like. Re-importing the same file just skips the duplicates — it never creates doubles.

Use these exact column headers in your import file. Required columns must be filled for each row; optional columns can be left blank.

Column headers are case-sensitive. Use the downloaded template to avoid header mismatch errors — don't rename the columns.

Adding Candidates One at a Time

For individual candidates, click Add Candidate in the Talent Pool header. Fill in the candidate's name, email, role and any other details — all fields except Name and Email are optional. You can also set who referred the candidate (useful for tracking internal referrals).

Once saved, the candidate appears immediately in the pool and can be submitted to any open requirement right away.

Sub-vendors also add directly to your talent pool when they submit candidates against a requirement. Every submission lands here automatically.

Attaching Resumes in Bulk

You can attach PDF resumes to multiple candidates at once using the Attach Resumes wizard — no need to open each candidate profile individually.

Open the wizard
Go to Talent Pool and click "Attach Resumes". The wizard guides you through uploading and matching.

Upload PDF files
Select multiple PDF files at once (up to 50 per batch). VendorDesk attempts to match each file to a candidate by parsing the filename — files named "Rahul_Kumar.pdf" or "rahulkumar_resume.pdf" are matched automatically.

Confirm or reassign matches
Review each file-to-candidate match. For files VendorDesk couldn't auto-match, use the dropdown to select the correct candidate manually. Unmatched files can be skipped.

Save attachments
Click "Save" to attach all confirmed matches. Resumes are stored securely and only accessible to authenticated users via the secure download endpoint.

Searching and Filtering Your Talent Pool

Use the search bar to find candidates by name, role, or skill keyword. Combine it with the status filter to narrow results further.

The "Referred by Me" filter shows only candidates you personally added or referred — useful for recruiters who want to track their own sourcing contribution. You can also sort by date added, name, or experience level.

💡
Skills search is partial-match. Searching "Java" also returns candidates tagged "Java Spring", "Java EE", "JavaScript" etc.

Redeploying Candidates to New Requirements

A candidate who was placed six months ago for one client can be redeployed to a new requirement for another client — without re-entering any data. The Talent Pool makes this seamless.

Click "Submit to Requirement"
Select open requirement
Candidate enters pipeline

All previous history — past submissions, stage notes, placement records — is preserved on the candidate's profile. You always have full context before submitting.

Candidates can be submitted to multiple open requirements simultaneously. Their status in each pipeline is tracked independently.
