Built-in Roles for Staffing Teams

VendorDesk ships with four pre-built roles designed for how staffing companies are actually structured. Assign a role when inviting a team member and they'll have the right modules available from day one.

Creating Custom Roles

No two staffing companies are identical. Go to Settings → Roles & Permissions to create fully custom roles with exactly the module access you need. For example:

  • Operations Coordinator — Timesheets + Talent Pool + Clients (read-only)
  • Senior Recruiter — All recruiter modules + Analytics for their own performance
  • Finance — Timesheets + Billing History + Revenue reports (read-only)

Custom roles take effect immediately when you save — existing team members assigned to the role see the new module set on their next page load, without needing to log out.

Inviting Team Members

Go to Team → + Invite Member. Enter the email address, choose a role, and click Send Invite. The team member gets an email with a secure one-time link to set their password and activate their account.

Only Admins can invite, remove, or change the role of other team members. Sub-vendors are managed separately through the Sub-Vendors section and do not count towards your team member limit.

Removing or Deactivating a Team Member

When someone leaves, go to Team, find their profile, and click Deactivate. Their account is suspended immediately — they cannot log in and no data is deleted. Their historical activity (candidates added, stage updates, notes) is preserved with their name for audit purposes.

You can reactivate a deactivated member at any time. If you're replacing them, reactivate first, then change the role or email if needed before deactivating again.
